If you have followed the news over the past couple of years, you could be forgiven for thinking artificial intelligence appeared overnight. Every week seems to bring another AI tool promising to transform the way businesses operate, and honestly, it all gets a bit overwhelming.
So, what am I talking about today? Well...
Artificial intelligence is not a brand-new technology. Businesses across the UK and Europe have been benefiting from AI for well over a decade, often without even realising it. What has changed is not the technology itself, but how accessible it has become. Today, small and medium-sized businesses can use AI-powered tools that would once have been available only to large corporations with dedicated research teams and extraordinarily significant budgets.
I believe that is what makes the current wave of AI so exciting. It is no longer reserved for global enterprises. Whether you run a local trades business, an online retailer, a consultancy, or a growing service company, AI has become a practical tool that can genuinely improve the way you work.
AI Has Been Around Longer Than Most People Think
Whenever I speak to small business owners about AI, one of the first things I explain is that they have probably been using artificial intelligence for years.
Every time an email lands in your spam folder instead of your inbox, AI is involved. When Netflix recommends a programme, Spotify builds a playlist, Google ranks search results, or your bank flags unusual spending, artificial intelligence is working quietly behind the scenes.
Machine learning, predictive analytics, and intelligent automation have been part of commercial software for many years. Researchers have been developing AI technologies for decades, and businesses have steadily adopted them throughout the 2010s.
Tools like ChatGPT, Microsoft Copilot, and Google's Gemini made artificial intelligence far more accessible to the general public. I do have my own opinions about the full accessibility of these tools, particularly when it comes to image generation, but that is another conversation. Instead of operating behind the scenes, AI became something businesses could interact with directly, whether to write content, analyse data, answer questions, or automate repetitive tasks.
That shift has opened the door for small businesses to benefit from AI without needing specialist technical knowledge.
What Does AI Actually Mean for Small Businesses?
I want to emphasise that one of the biggest myths I still hear at the moment is that AI exists to replace people. In reality, I see it doing something much more valuable when it comes to small businesses.
The businesses getting the most from AI are not replacing employees. They are removing repetitive work that slows people down.
Think about how much time is spent replying to similar emails, organising documents, searching for information, updating spreadsheets, or writing meeting summaries. None of those tasks necessarily require human creativity, but they still consume hours every week.
AI allows businesses to automate many of those processes, giving us all more time to focus on customers, strategy, and the work that genuinely benefits from experience and human judgement.
That is where I believe AI delivers its greatest value.
How Small Businesses Are Using AI Today
One of the reasons AI has become so popular is that it is incredibly versatile.
For some businesses, it is helping create marketing content more efficiently. Instead of spending hours staring at a blank page, business owners can produce first drafts for marketing strategies, newsletters, and social media content in a fraction of the time. Human editing remains essential, but AI dramatically reduces the effort required to get started. Not every business owner has a background in writing or marketing, and many people simply do not have the time or confidence to create compelling content from scratch.
Customer service is another area where AI is making a noticeable difference.
Rather than asking staff to answer the same questions repeatedly, businesses are using AI assistants to respond instantly to common enquiries about opening hours, bookings, services, and pricing. Customers receive quicker responses, while staff are free to deal with more complex conversations.
I also see many businesses using AI internally rather than externally.
Imagine having years of documents, policies, training manuals, and procedures stored across shared folders. Instead of searching through dozens of files, employees can simply ask an AI assistant a question and receive an answer within seconds.
For growing businesses, that alone can save countless hours every month.
AI and Business Automation Work Together
Something I think is often overlooked is that AI is only part of the picture.
On its own, AI is useful. Combined with business automation, it becomes much more powerful.
For example, imagine a customer submits an enquiry through your website.
Rather than waiting for someone to manually process it, your systems could automatically create a customer record, summarise the enquiry using AI, assign it to the correct member of staff, draft a response, schedule follow-up reminders, and update your CRM before anyone even opens their inbox.
Businesses across the UK and Europe are already implementing workflows like these every single day.
Where AI Can Save the Most Time
In my experience, the businesses that see the greatest return from AI are not necessarily using the most advanced technology. Instead, they focus on removing the repetitive tasks that happen hundreds of times every week.
Administrative work, document processing, reporting, meeting summaries, customer follow-ups, lead qualification, and internal knowledge management are all areas where AI can produce measurable improvements.
Saving five minutes on one task may not sound significant. However, saving five minutes across hundreds of tasks every week can significantly improve the way a business operates.
Common Mistakes I See Businesses Make
One of the biggest mistakes I see is businesses adopting AI simply because everyone else is talking about it. But the bigger question is, should they?
I am of the firm belief that technology should solve problems.
If there is no clear business problem to solve, AI is unlikely to deliver meaningful value.
I also think some businesses expect too much too quickly.
AI is incredibly capable, but it is still far from perfect. It still requires human oversight, particularly when creating customer-facing content, drafting complex documents, analysing important information, or making business decisions.
The most successful businesses treat AI as an additional assistant rather than a replacement for expertise.
Is AI Safe for Businesses?
For most businesses, the answer is yes, provided it is used responsibly.
If you are processing customer information or confidential business data, it is important to understand how your chosen AI platform handles that information and whether it complies with UK GDPR and, where applicable, EU GDPR requirements.
Like any business software, AI should be chosen carefully rather than simply because it is popular.
Will AI Replace Small Businesses?
Personally, I do not believe AI will replace successful small businesses.
What I do believe is that businesses using AI effectively will gain a significant advantage over those that ignore it. Customers still value expertise, relationships, trust, and personal service. AI will never replace those qualities.
What it can do is remove unnecessary administration, improve efficiency, and allow business owners to spend more time growing their companies instead of managing repetitive tasks.
So, What's the Endgame?
Artificial intelligence is not a passing trend, and it certainly is not a brand-new invention.
Corporations have been using AI technologies in one form or another for many years. The difference today is that these tools are finally accessible to businesses of every size.
The businesses that benefit most from AI are not trying to automate everything. They are identifying the repetitive, time-consuming tasks that slow them down and using AI to make those processes faster, simpler, and more efficient.
